Privacy information for grant applications

This notice explains how we process data in the “Creative Future – Round 3” programme.

2. Data we process
We process the organisation, contact, project and budget information and declarations entered in the application. Bank details are not requested in the online form. Do not enter names, photographs or other identifying data of participating children.
3. Purposes and legal bases
Data are used to receive and assess the application, support jury and board decisions, communicate with applicants and, if funding is awarded, administer the agreement, payment, implementation and close-out. The legal bases are pre-contractual and contractual measures under Article 6(1)(b) GDPR and the legitimate interest in orderly and accountable grant administration under Article 6(1)(f) GDPR.
4. Recipients and technical storage
Applications are transmitted through the programme website using an encrypted connection. They are stored as JSON files in a directory on RIG’s web server that is blocked from public web access. Access is limited to board, jury and administrative personnel required for the programme and, where necessary, the local administrative project partner. The hosting provider may process data under its data-processing agreement. Round 3 applications are not transferred to Google Sheets.
5. Retention
Unsuccessful applications are normally deleted no later than twelve months after the funding round closes, provided no clarification remains pending. For funded projects, required records are kept until project close-out and thereafter only for applicable statutory retention or limitation periods. They are then deleted or anonymised.
6. Your rights
You may request access, rectification, erasure, restriction and data portability and may object to processing based on Article 6(1)(f) GDPR. You may also lodge a complaint with a data protection supervisory authority. Funding decisions are not made solely by automated means.
